Position Overview:

We are seeking a Senior Executive Administrative Assistant to support the President of Dun & Bradstreet International.

Key Responsibilities:

  • Works on matters of diverse scope, including significant matters, where analysis of data requires evaluation and comparison of options based on multiple factors.
  • Exercises judgement and independent discretion and makes decisions relating to running the high-level (senior) executives office consistent with the companys policies and the executives goals.
  • Plan and prepare senior executives daily and weekly schedules including all required preparatory materials, prioritize and handle internal and external correspondence, prepare draft documents and communications for the executive, and handle and direct inquiries to other employees as needed.
  • Facilitate meetings and events by planning agendas, reports, logisitics, and formulating follow-up minutes & action plans (inclusive of high profile meetings such as Board of Directors meetings.)
  • Manage heavy international travel, including detailed itineraries and securing appropriate visas.
  • Coordinate schedules with Executive Team and their Administrative Assistants as well as with other Leaders Administrative Assistants and external 3rd parties and visitors.
  • Support executives in building profile and relationships across the company and with key external stakeholders.
  • Plan and manage senior executives calendar baded on the evaluation and understanding of the underlying matters and prioritize based on key company and departmental goals.
  • Handle confidential matters appropriately and with complete discretion.
  • Additional duties include preparing and reconciling T&E expenses, processing invoices in a timely manner, managing executive travel as business needs dictate, reviewing purchase orders and expense reports submitted by the executives direct reports, and tracking compliance related initiatives.
  • Other administrative tasks such as managing distribution lists, rosters, organizing team events, lunch meetings, preparing materials/supplies for leadership training courses.
  • Key Requirements:

  • Minimum of 5-7 years experience in an administrative support role, with ideally 2 years supporting C-level executives. Experience scheduling complex international travel is required.
  • Highly service oriented along with familiarity working in a fluid environment.
  • Ability to work proactively, be detailed oriented, manage multiple priorities and pivot quickly when priorities shift.
  • Ability to maintain confidentiality and adapt and interpret policies, guidelines, precedents or practices to new or changing situations.
  • Strong ability to communicate effectively, collaborate and influence cross functionally.
  • Proven project management and problem solving/analytical skills.
  • Must be able to work flexible hours based on business needs.
  • Advanced knowledge of Microsoft Office, Outlook, Word, Excel, and PowerPoint is required.
