International law firm seeks an experienced Office Administrator to join manage office locations in both San Diego and Orange County. This is an exciting opportunity for someone who has worked as a legal Office Manager or Administrator in the past but would like to grow exponentially with a firm and stay long-term.

  • Manage office staff (approximately 100) in both San Diego and Orange County offices
  • Provide exceptional leadership and direction to all office staff employees
  • Develop plans for short-term and long-term office needs
  • Keep attorneys and employees informed for company updated
  • Uphold a tremendous amount of confidential information
  • Hire and supervise paralegals, legal secretaries, and all support staff
  • Mentor and coach employees and effectively train to company standards
  • Conduct meetings with staff as well as perform employee evaluations.
  • Participate in attorney recruiting
  • Ensure all facilities and office services functions are organized and in place
  • Manage relationships with local vendors
  • Prepare and manage local office budgets and business plans
  • Monitor monthly financial reports and prepare summaries for shareholders
  • Approve firm and client invoices, check requests, and expense recovery
  • Manage timekeepers' weekly time entry/release to ensure deadlines are met
  • Manage the Human Resources activities in the office, including recruiting, hiring, orientation, policy development and implementation, staff training, performance evaluations, etc.
  • Minimum 10 years of experience as an Office Administrator, preferably in a law firm environment
  • If no Administrator experience, legal experience is highly preferred
  • Must have thorough understanding of law firm or professional administration, facilities management, and human resources managers
  • Bachelor's degree required, preferably in Business Administration or related field
  • Must have direct experience in all key functions areas of this position
